1. Privacy notice

1.1 Information we collect

When you contact us, request a quote, or book a fitting we collect:

  • Identity and contact details — your name, phone number, email, and where you'd like the work done.
  • Vehicle details — registration plate, tyre size, and any fault description you give us. We use the DVLA's open vehicle-enquiry service to look up tyre size from a registration; we don't pass your details to DVLA.
  • Job information — what we did, when, where, and what tyres or parts we supplied. We keep this so we can stand behind the work and to meet our tax-record obligations.
  • Payment information — handled by our card processor on the van. We don't store full card numbers; we keep the receipt reference, amount, and the masked last-four digits.
  • Website usage — if you accept analytics cookies, anonymised data about how you use this site (page views, device type, approximate region). Always optional and never used to identify you personally.

1.2 Why we collect it (lawful bases)

  • Performance of a contract — to give you a quote, dispatch the van, fit the tyres, and invoice the work.
  • Legal obligation — UK tax law requires us to keep accounting records for at least six years; consumer law requires we honour repair, replacement and refund rights.
  • Legitimate interests — to follow up on a job, defend ourselves against complaints, and improve our service. You can object at any time.
  • Consent — for marketing emails or non-essential cookies. You can withdraw consent at any time.

1.3 Who we share data with

We don't sell your data. We share it only with the suppliers we need to run the business:

  • Card processor (currently Stripe / SumUp on the van) — to take payment.
  • Email and hosting — Resend (email), Cloudflare (website hosting and security), Google Workspace (mailbox). All process data under written agreements.
  • Accountant — for bookkeeping, payroll, VAT, and corporation tax.
  • Tyre manufacturers and wholesalers — only where needed to honour a manufacturer warranty claim on your behalf.
  • Authorities — where law requires (HMRC, Companies House, courts, the police).

Where suppliers process data outside the UK (e.g. Cloudflare, Google in the US), we rely on UK adequacy regulations or the UK-approved Standard Contractual Clauses to keep your data protected.

1.4 How long we keep it

  • Quotes you didn't take up — 12 months, then deleted.
  • Job records and invoices — 7 years (HMRC requirement).
  • Marketing email lists — until you unsubscribe.
  • Website analytics — 14 months, in line with Google's default retention setting.

1.5 Your rights

Under the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018 you can ask us to:

  • tell you what data we hold about you (subject access request);
  • correct anything that's wrong;
  • delete your data, where we no longer have a legal reason to hold it;
  • restrict or object to how we're using it;
  • export your data in a portable format;
  • withdraw any consent you've given for marketing or non-essential cookies.

We respond within one calendar month. Email info@thetyresoldier.co.uk. If you're not happy with how we've handled your request, you can complain to the UK Information Commissioner's Office at ico.org.uk.

2. Cookies and analytics

This website uses two kinds of cookies:

  • Essential cookies — needed for the site to work (e.g. remembering whether you've accepted the cookie banner). Always on. No consent needed.
  • Analytics cookies — Google Analytics 4 and Google Tag Manager, only after you accept. They count visits, see which pages are popular, and measure call/WhatsApp click-throughs anonymously. IP addresses are anonymised before being stored.

You can change your cookie choice at any time by clearing this site's cookies in your browser, which makes the banner reappear.

3. Terms of service

3.1 Quotes and prices

A quote we give over the phone, by message, or on the van is valid for 7 days unless we say otherwise. Prices include VAT where applicable. The price quoted is the price you pay — we'll never add charges without telling you first.

3.2 Booking and cancellation

Bookings are confirmed when we agree a time and place with you. You can cancel without charge up to 1 hour before the agreed slot. Cancellations later than that, or where we've already sourced a tyre to your vehicle, may incur a call-out and parts charge.

3.3 Payment

Payment is taken on the van by card or contactless when the work is finished. Trade and fleet customers can be invoiced on agreed terms.

3.4 Workmanship and warranty

We stand behind every fit. Tyres carry the manufacturer's warranty (commonly 5 years from the date of manufacture, subject to the manufacturer's terms). Our fitting workmanship is guaranteed for 12 months from the date of work — if a fault is caused by how we fitted it, we'll put it right at our cost.

Manufacturer warranty does not cover impact damage, kerb damage, sidewall punctures, deliberate or accidental misuse, or normal wear.

3.5 Your statutory rights

Nothing in these terms removes or limits the rights you have under the Consumer Rights Act 2015. Services must be carried out with reasonable care and skill, parts must be of satisfactory quality and fit for purpose. If you're a consumer (rather than a business or fleet customer) and we don't meet that, you're entitled to a repeat performance, price reduction, repair, replacement or refund.

3.6 Liability

We carry full public-liability and motor-trade insurance. Our liability for any one job is limited to the cost of putting the work right, plus any direct loss reasonably foreseeable at the time of booking. We don't exclude liability for death or personal injury caused by our negligence, fraud, or anything else where the law doesn't allow exclusion.

3.7 Complaints

If something's gone wrong, please tell us straight away — call 07449 206 581 or email info@thetyresoldier.co.uk. We aim to acknowledge every complaint within 1 working day and resolve it within 14 days. We always prefer a phone conversation first.

3.8 Governing law

These terms are governed by the law of Scotland. Any dispute will be heard in the Scottish courts. If you're a consumer based elsewhere in the UK, you can also rely on the protections of the law where you live.

4. Changes to this notice

We may update this notice from time to time as our suppliers or the law changes. The date at the top reflects the latest version. Material changes will be flagged here and, where relevant, sent to you by email.
